Can the whole bookfair be tax exempt using the school's tax exempt number?

If you are doing a bookfair at a school that is not tax exempt you charge the parents tax that come and buy something. You do not have to charge tax to the school on their free books. If they are tax exempt sometimes the organization will allow the parents to use their tax ID number on the bookfair since they are buying the books at the school for an event that the school benefits from. You just need to ask someone at the school how they want to work it.

How can I change an "eshow" into a "combo" show?

You can change it to a combo eshow.  To do that you go into your Web Sales Admin page and click on the HOS number for that eshow.  What you'll get is a screen similar to what you saw when you set up the eshow.  There is a check box on this screen that states something along the lines of 'Combine with Home Show and claim Free books with OrderPro.  Just check the box and then scroll all the way down the page and click the Update button.

Why do we need letters from the schools for RFTS and book fairs?

We only need letters for listed schools or libraries. The reason for the
letter is simple. When you do a book fair or a RFTS, the sales go into your
name. In July when I check listings for minimums, I check by the customer
number for the listing. Therefore, the book fair or RFTS will not show up in
their totals.

The letters are attached to the listing and kept in your listings file. The
totals are then figured into the sales for each listing.

The letter doesn't have to be a big production. Just a simple line on their
letterhead stating they held an event, the date, the amount of sales and
your name. You can offer to write it for them.

A letter of reference from the school could be used for the same.
